Data verification is often required for a number of different kinds
of offender information that has been entered on the system (such as assignment
of an offender number, entry of sentence warrants, or assignment to a
care in placement program). Any TAG screen block that requires verification
has a Verified check box at the bottom of the
block that reads
unchecked. Verification acts as a running
log of the creation, modification and verification of important information.
When the offender information is initially recorded,
the system automatically registers the date, time, and user ID of the
entry. The Verified check box defaults to
unchecked.
To verify the ID#, go to the Verified check box and press List of Values. This brings up the Verification window, which displays the date, time, and user of every entry made in this block on this offender's record (most recent first).
To verify the information, press Save.
The Verification window disappears, and the
Verified check box is now
checked.
Verification
requires security clearance. TAG does not allow verification by the same
person (user ID) who created or last modified the record.
How TAG records verification: TAG records one of these three codes against every user action on an offender record:
ENT (Entered):
identifies the initial creation of a record, noting the user ID and date/time.
The Verification flag remains
unchecked (not verified).
VER (Verified):
records a verification, noting user ID and date/time. The Verification
flag changes to
checked.
MOD
(Modified): TAG automatically inserts this code whenever any information
except the Comment is changed, noting user ID
and date/time. The Verification changes back
to
unchecked.
